Who we are

The website www.the-randd-community.co.uk is owned and operated by The R&D Community Ltd, Registration No. 13076097. Our registered office is 20-22 Wenlock Road, London, England, N1 7GU.

What personal data we collect and why we collect it

When you fill in forms on our website, we will collect your name and email address, and any other personal data you may choose to include in your message to us. We collect transactional data when you use our site to purchase a membership, and this is associated with your personal data. We also collect anonymous behavioural data from our site users through cookies.

We do not request or collect any sensitive data, and we encourage you to use your business contact details when completing our forms.

Contact form

When you submit a message through the contact form on our website, we ask for your name and email address. These details, along with your message, are stored on our website and sent by email so that we can respond to your message. Unless you request it, we will not add details from this form to our mailing list, or use it to send additional marketing information.

We keep your information for 12-18 months to allow us to aggregate information and review service levels. After this time your records are deleted on our website and archived in our email system. The website is hosted by Digital Ocean.

Resource download forms

If you sign up for our newsletter, or to receive one of our free resources, we will collect your name and email address, and add these to our mailing list. Our free resources include any of our downloadable PDFs, our gated training videos, our free training course and our quiz, and other similar resources that we may create in future.

Our mailing list is stored in Keap, owned by Infusionsoft.

We will retain your data for as long as you continue to interact with our marketing emails. You are free to unsubscribe at any time. If you unsubscribe or become inactive on our mailing list, we will remove your personal data from the record after 6-12 months.

If you sign up for our free training course, we will also ask you for a username, which may include personal data. We will share your name, email address and username with TalentLMS, to provide the free training you have requested. We use Zapier to automate the data transfer between TalentLMS and Keap.

If you complete our free quiz, your details are collected via Outgrow, who host the quiz on our behalf. They collect your name and email address, which are then added to Keap.

Membership purchase

When you purchase a membership on our site we will collect your name and business email address, and the names and business email addresses of your colleagues who will also be on your membership. We also ask you to create a username, which may include personal information. All these details are stored on our website, which is hosted by Digital Ocean.

Even if you do not complete the checkout process, your data will be stored on our website and retained for around 30 days. This allows you to continue your purchase without having to re-enter your details.

The name and email address of each user will be stored in our training platform, TalentLMS, and in Keap, which is owned by Infusionsoft.

During checkout, our payment processor Stripe will collect personal and payment data associated with your purchase. We then have access to a limited record of this data, including the name and postcode associated with the purchase, which may be personal data.

While you remain a member, we will retain your personal data to provide the membership service. We will also add you to our mailing list, to send you updates about content and services relevant to your membership.

When you cancel your membership, we will retain different records for different amounts of time.

Your name and email address will be retained on our mailing list for as long as you continue to engage with our marketing emails. The removal process for our mailing list is detailed in the section above.

Your name, email address and username will be retained on website and our training platform for up to 6 months, although we reserve the right to remove it sooner at our convenience. We retain it temporarily in case you wish to reactivate your membership.

Your transactional details will be retained in Stripe for six years to allow us to comply with legislation on keeping business records.

Additional Member Data

While you are a member, we may collect other personal details about you, including your phone number and other contact details. We will always discuss this with you when we request the data, and explain how we will use it.

Industry regulatory disclosure requirements

We are registered with HMRC for Anti-Money Laundering purposes (registration number XAML00000183340) . This requires us to collect, process and retain additional personal information about our customers.

How long we retain your data

We keep records of customer transactions for 6 years.

We keep data for our mailing list for 6-12 months after you have opted out or stopped engaging with our marketing emails.

We keep contact form data for 12-18 months.

What rights you have over your data

Where your data is sent

All the data processing services that we use are global or US-based companies. This means they transfer data outside the EU. We have listed their privacy policies in the table above.

The only exception is Digital Ocean. Our website is hosted on a server located in London, so the data is not transferred outside the UK or EU.
